**Job Description**
BAE Systems is seeking a Sr Functional Support Specialist for the NATO Seasparrow Project Office (NSPO) in a multifaceted role that requires a high degree of skill, experience, and a current Secret security clearance. The role encompasses a broad range of responsibilities, including but not limited to HR support, database management, financial tracking, logistics, meeting support, and policy implementation. The candidate is expected to work autonomously, handle sensitive information and support high-level customers within NSPO. Additionally, the job requires excellent communication and organizational skills, proficiency in a range of software and tools, and the ability to travel internationally.
Individual responsibilities include:
Supporting NSPO personnel related efforts, including onboarding and off-boarding personnel and maintaining an updated and accurate personnel database.
Maintaining NSPO phone directory current, and distribute to internal and external customers.
Tracking Government mandated training for employees under the BAE Systems Prime Contract and providing recommendations to the BAE Systems PM.
Processing correspondence via the NSPO mail system for multiple divisions. Ensuring compliance with the Navy Correspondence Manual Guidelines and making appropriate formatting, editing, tracking, finalizing, distributing and uploading into SharePoint.
Serving as the primary POC and equipment transportation manager for domestic and international shipments of major meeting equipment; scheduling and preparing pickup/delivery date(s); preparing CARNET insurance documentation; and assisting with inventory controls.
Assisting customer and BAE Systems staff with travel arrangements and reporting. Preparing expense reports for BAE Systems personnel as required.
Providing critical administrative support at major, top level customer meetings; attendees include international delegations.
Procuring office supplies like business cards, and incidental items for BAE Systems personnel and program office. Managing expense reports and budget tracking for BAE Systems purchases including BAE Systems Purchase cards, Purchase Orders and Coupa, and developing the relevant to the customer reports. Maintaining databases for all procurements.
Maintaining NSPO FedEx shipping account; preparing labels and shipment paperwork
Assisting the BAE Systems Social Committee Members supporting Morale, Welfare, and Recreation (MWR) functions for professional social events. Foster a positive and collaborative work environment, encouraging professional development and team cohesion.
Assisting with the establishment of quality processes and procedures related to his/her expertise
Maintaining inventory records of commonly used office items and custom gifts and ensuring adequate stock levels.
Mentoring new staff on critical admin support and serving as an Ambassador for BAE new admin employees.
**Required Education, Experience, & Skills**
Minimum education and years of service required:
8 Years with HS
6 Years with AA
4 Years with BS
2 Years with MS
0 Years with PhD
+ Active Secret security clearance.
+ Minimum of 6 years of experience in an administrative role, preferably in a Navy program office.
+ Positive interpersonal skills and excellent communication, organization, and time management skills.
+ Proficient in Microsoft 365 applications, such as Word, Excel, PowerPoint, and Outlook, and other program management tools, such as SharePoint, and Teams.
+ Proficient in Cisco Webex and MS Teams.
+ Ability to travel internationally to support customer meetings.
+ Ability to handle confidential and sensitive information with discretion and integrity.
**Preferred Education, Experience, & Skills**
Highly desired, but not required:
Knowledge of DoD Acquisition Regulations
Knowledge of the PEO IWS-12 NATO SEASPARROW Project Office (NSPO) and NAVSEA policy, processes and procedures.
**Pay Information**
Full-Time Salary Range: $78760 - $133870

However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
