Job Description

This vital role will work closely with the Director of Sales and Marketing and Sales Leaders to ensure successful execution of all operations relating to the department, resulting in high levels of guest satisfaction. This position h andles all administrative duties required by the Sales, Catering and Marketing Divisions in order to provide superior services to our guests

Responsibilities

+ Schedules and prioritizes work load to meet deadlines of all managers.

+ Types and distributes all correspondence, including letters, emails, proposals, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate.

+ Maintains reader files.

+ Maintains account files and ensures that all information is included in file, i.e. post convention reports, letters, etc.

+ Answers calls to sales office by third ring.

+ Complete inquiry sheet when taking phone leads and inquiries; then build the booking in FDC with the complete information taken on the inquiry sheet to include the Account Name, Contact Information, Dates, Meeting space, and any other important information that might be beneficial for the sales manager to know.

+ Enters group information (sites, resumes) in PMS system.

+ Gathers materials and emails packages to clients as necessary.

+ Takes minutes at sales/assistant meetings as directed.

Qualifications

+ Previous Sales adminstrative or hospitality operations experience strongly preferred.

+ Knowledge of Opra, FDC, Delphi and other sales computer programs a plus

+ Clear, concise written and verbal communication skills. Ability to clearly and pleasantly communicate both verbally and in writing in English with guests, management, and co-workers.

+ Individual will be expected to meet deadlines, work with little supervision and be flexible to handle interruptions.

+ Individual must be have extensive verbal, mathematical and writing skills.

+ Must have strong, positive guest and employee relation skills.

+ Must be able to sit for long periods of time. Must have significant mobility of arms and hands. Must be able to bend, squat and push, pull and lift up to 25-30 pounds. Must be able to see, hear and communicate verbally in writing. Must have good organization skills, attention to detail, and be able to multi-task. Time Management is important

+ Ability to effectively use Microsoft Word, Publisher, Outlook, and Excel is required.
