Job Summary

The Workplace Service Ambassador is responsible for establishing a warm, welcoming and professional atmosphere for all clients, executives and staff members at all times. Manage and maintain all public areas, the ambassador will be the point of contact for reception and executive office.

RESPONSIBLITIES:

Efficiently manage and coordinate all services for conference spaces by being professional, caring, resourceful and motivated. A Conference Services Concierge is proactive, anticipating clients’ needs and responds promptly to the requests.

* Restock office, kitchen, and pantry supplies

* Manage inventory of supplies and keep assigned areas stocked

* Prepare and maintain conference rooms for executive and client meetings, align all furniture to ensure a welcoming look.

* Coordinate catering for meetings, including supervise set up and post event

* Set-up all conference rooms for new/continuing meetings

* Alert Day-Porters so all trash is cleared at regular intervals of time especially when catering is present

* Maintain and report all maintenance related reports

* Ensure the cleanliness of all open work, lobby, and kitchen areas

* Coordinate and arrange basic office equipment repairs and maintenance

* Carry out instructions for security, fire, health and safety guidelines

* Working knowledge of basic technology in conference rooms

* Provide general administrative support

* Respond to inquiries and anticipate customer needs

* Maintain a strong awareness of business activity and communicate all updates with your team members

* Communicate and interact effectively with all other departments

* Conduct opening and closing walkthroughs daily

* Perform other related duties in the Conference Services Department as assigned by supervisor

KEY COMPETENCIES:

* The ability to work under pressure, while constantly interacting with visitors in a public environment

* The ability to prioritize tasks and juggle many jobs simultaneously

* Excellent listening and oral communication skills

* Basic computer skills and knowledge of office technology / equipment

* Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details

* Discreet, ethical and committed to maintaining a high degree of confidentiality

* A consistently professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain

SKILLS NEEDED TO BE SUCCESSFUL:

* Catering set-up knowledge & ServSafe Certified preferred.

* Ability to organize work in a manner that facilitates timely and efficient completion of assigned tasks.

* Ability to manage multiple tasks or assignments, and complete assignments within established deadlines.

* Ability to learn rapidly and adapt quickly to changing situations with minimal planning/information.

* Strong customer service and hospitality experience.

* Ability to resolve issues quickly and efficiently.

COMMUNICATION SKILLS

* Strong command of the English language, both verbal and written.

* Ability to communicate effectively to associates, clients and other individuals.

* Ability to clearly and accurately convey information in a professional and respectful tone with associates and clients.

* Ability to share ideas and feedback and opinions in a constructive and professional manner.

* Ability to listen and be open to learn from other people’s advice and observations
